Matt's Tractor Pack Risk and Safety Guidelines
1. Purpose
These guidelines set out the safety expectations for all members and participants involved in events organised by Matt’s Tractor Pack**.**
The aim is to ensure that all club activities, including tractor meets, shows and fundraising events, are conducted safely for members, volunteers and the public.
2. General Safety Responsibilities
All members and participants must:
Act responsibly and follow instructions given by event organisers or marshals
Take reasonable care for their own safety and the safety of others
Comply with any safety rules set out for the event
Report any hazards, unsafe conditions or incidents to the event organiser immediately
Unsafe behaviour may result in removal from the event.
3. Tractor and Vehicle Safety
All tractors or vehicles attending club events must be in safe working condition.
Owners and drivers must ensure:
Brakes, steering and controls are functioning correctly
Tyres are in safe condition
Lighting is operational if required
No obvious oil or fuel leaks are present
The tractor is suitable for public display or operation
The club reserves the right to refuse entry to any vehicle considered unsafe.
4. Driver Responsibilities
Drivers must:
Be competent and experienced in operating their tractor or vehicle
Follow instructions from event organisers or marshals
Drive at slow and safe speeds at all times during events
Avoid dangerous manoeuvres, racing or reckless driving
Stop immediately if instructed by event staff
Drivers must remain aware of pedestrians and members of the public at all times.
5. Public Safety
Where events are open to the public, additional precautions must be taken.
Event organisers should ensure:
Clear separation between the public and moving tractors
Safe viewing areas for spectators
Barriers or designated zones where necessary
Clear signage where hazards exist
Members should remain vigilant when operating machinery near the public.
6. Children and Vulnerable Persons
Children attending events must always be supervised by a responsible adult.
Children must not:
Climb onto tractors or machinery without permission
Enter restricted areas
Stand close to moving vehicles
Members should be aware that children may behave unpredictably and should exercise additional caution.
7. High Visibility Clothing
High visibility clothing should be worn by:
Event marshals
Parking stewards
Members directing vehicles or assisting with event management
This helps ensure organisers can be easily identified and improves safety when managing vehicle movements.
8. First Aid and Emergency Arrangements
Where possible, events should have basic first aid arrangements in place.
Event organisers should:
Identify a first aid contact for the event
Have a basic first aid kit available
Ensure emergency services can access the site if required
Know the location of the nearest hospital or medical facility
Any accidents or injuries should be reported to the event organiser immediately.
9. Risk Assessments
A basic risk assessment should be carried out before events take place.
This should consider potential risks such as:
Vehicle movement and traffic management
Public interaction with tractors or machinery
Weather conditions
Slips, trips and falls
Parking and vehicle access
Appropriate control measures should be put in place to reduce risks where possible.
10. Incident Reporting
Any accidents, injuries or safety concerns should be reported to the event organiser as soon as possible.
The committee may record incidents to help improve safety at future events.
11. Compliance
All members and participants are expected to follow these guidelines when attending or taking part in Matt’s Tractor Pack events.
Failure to follow these guidelines may result in individuals being asked to leave an event.
